Entry Information & Guidelines

 
Entry Timeline (all dates 2019)
March 1, 2019: Call for Entry Opens
July 26: Entry Deadline. Completed Entries must be received by Pacific Northwest Quilt & Fiber Arts Museum by 5PM PST.
August 7-10: Jurying
August 12-16: Entry Notifications sent out, along with shipping & return instructions for accepted entries.
September 6: Pieces accepted in ‘Judged’ Categories must be received in our office.
September 10-11: Judging
September 27: Pieces accepted in ‘Non-Judged’ Categories must be received in our office.
October 11-13:  Show Dates
October 14 – November 24:  1st Place & “Best of” Entries on exhibit at the Museum.
October 16-18:  Entries not on exhibit will be return shipped or available for pick-up (No onsite pick-ups on Festival closing will be available.)
November 25-27: 1st Place & “Best of” Entries will be return shipped or available for pick-up.

General Guidelines:
  1. Entry is open to all national and international quilters and fiber artists. There is no restriction as to when the piece was created. Pieces that have been on prior exhibit at the Museum or past Pacific Northwest Quilt & Fiber Arts Festivals are not eligible for entry.
  2. Entrants may choose to have their piece judged or non-judged.  Judged pieces are eligible for awards and will receive judge’s feedback with return of item following festival.
  3. All entries, judged and non-judged, must be reviewed by jury for acceptance into show.  The Pacific Northwest Quilt & Fiber Arts Museum (PNWQFAM) entry fee is $30 per entry for up to 4 entries; additional entries over 4, $10 per entry. ($20 fee per entry for Museum members for up to 4 entries; additional entries over 4, $10 per entry.)  Entry fees are NON-REFUNDABLE. Entry deadline is July 26, 2019. A complete entry packet and payment in full must be received by 5 PM PST.
  4. Preferred maximum size in any category is 106” wide x 88” high.  For pieces larger than this, please contact staff in advance so we can determine how to accommodate you.
  5. All pieces should arrive clean and free of strong odors. PNWQFAM reserves the right to not display an entry if the quality or condition does not meet PNWQFAM’s standards upon a hands-on inspection. In such a case no fees will be refunded.
  6. Artists submitting works are responsible for all shipping to and from the Museum.
  7. PNWQFAM will insure each accepted entry against damage from the time we receive the entry until it is in the hands of the return carrier up to the value amount on the entry form or to a maximum of $500, whichever value is lowest.  It is highly recommended that entries valued over $500 be appraised and the entrant obtain additional insurance to cover any damage to the entry while in transit and at the 2019 PNWQFAM Show. Every attempt is made to ensure the security of your entry at the 2019 PNWQFAM show.
  8. PNWQFAM will need to transport entries to a judging location as well as the festival location and return. We are unable to accept quilts or fiber art entries that require any unusual or special handling (such as environmental controls, specific lighting, or non-standard hanging equipment, as examples.)  If you are unsure if your entry falls into that description, please contact us before entering.  We will do our best to accommodate your needs.   All pieces will be handled in a professional manner, utilizing best curatorial practices, such as gloves, and will be transported in the same fashion in which the entry is delivered to us (i.e., if the entry is sent or delivered to us rolled, the item will be rolled when being transported to and from the exhibit hall.) Pieces that do not meet this guideline may be disqualified. The entrant will be notified and no fees refunded. PNWQFAM, at its sole discretion, has final determination. 
 
Entry Guidelines
  1. Entries in Quilt categories must consist of three (3) distinct layers - top, middle layer, and backing, stitched or tied together.
  2. Bed quilts must be functional quilts used on a specific sized bed from crib to king.
  3. Piece may be hand or machine stitched.
  4. No pre-quilted fabrics may be used.
  5. No pre-printed whole cloth quilt tops may be used.
  6. Items made from mass-produced kits will not be accepted. This includes block of the month quilts made from fabrics pre-selected for the quilt maker, felting kits, etc.   Original needlework canvases are acceptable.  Following a designer’s pattern, in quilting, needlework, weaving or knitting for instance, is also acceptable.
  7. A group piece – quilt or fiber art – is defined as two or more people working together on it. It must be a true collaboration between quilters or fiber artists and not a business arrangement or part of a work-for-hire agreement.
  8. All pieces must be labeled with maker’s name, contact information, title and size. The label must be basted over or covered with opaque tape to preserve anonymity during the judging process, where applicable.
  9. No pre-inserted rods, special hanging or mounting devices, special lighting or display items may accompany quilt or fiber art entry (exception: bottom rod may be inserted on quilts or fiber art wall pieces for weight, if needed.)
  10. All quilts and fiber art wall pieces (unless in a frame) must have a 4-inch double sleeve attached to the top back of the piece for display. Framed pieces must have a wire attached across the back for hanging.  Pieces without these requirements will be disqualified and no fees refunded.
  11. If piece is mounted in a frame or encased in any way, it must be easily accessible for judging, when applicable.  No glazing accepted (glass) except for needlework pieces.
  12. Select the proper category for your entry. If in doubt, consider what element you would like to base the evaluation of the piece on.  PNWQFAM reserves the right to change an entry category. If so, entrant will be notified prior to judging.
  13. The written description of your piece may be no longer than 150 words.  Entries made using a published design, pattern or digital embroidery must acknowledge book, pattern, and/or designer.  Credit must be given to the author, teacher, artist, etc. who inspired the work, if applicable.  Acknowledgment must be given to anyone participating in the execution of the work. PNWQFAM may edit the description at its sole discretion.
  14. Entrants are responsible to ensure that their entry complies with all applicable copyright laws.  When submitting a piece based on another’s design or pattern, please cite the designer on your entry form.
 
 
Image Requirements and Use

Image quality is critical to the jury process, often making the difference between acceptance and non-acceptance of an entry. Entrants are encouraged to obtain professional images, if possible.
  1. Each quilt & fiber art entry must include a digital image featuring the full view and a digital image featuring a close up view of the workmanship of the entry.  Wearables and 3-D/Sculptural pieces must include a full front view, a full back view and a detail close-up showing workmanship.  
  2. Minimum image size is 960 pixels on the longest side.  Print resolution dimension is 1920 pixels. These specifications are established by the online service we use to process entries and cannot be modified.  When in doubt, please upload your image and send us an email requesting we review it.  You can email us at qfaf@qfamuseum.org
  3. Accepted formats are .jpg, .png, and .pdf.
  4. By submitting your entry, you are granting PNWQFAM permission to use your image(s) in print, web or social media for marketing and press purposes only.   Artist and/or photographer will be given full credit on any image use.
  5. If piece is mounted in a frame or encased in any way, entry image submitted must reflect that. 
  6. Entries received after jurying that do not match the entry image submitted may be disqualified.  
 
 
Accepted Entries
  1. All decisions of the jurors and judges are final. PNWQFAM, at its sole discretion, may disqualify any entry for any reason and no fees will be refunded.
  2. Accepted entries for judging must be available for judging and exhibition from September 6 – October 14, 2019. Non-judged entries must be available for exhibition from September 27 – October 14, 2019.
  3. All award winners will be notified at least one week prior to the opening of the Festival. 
  4. All First Place & “Best of” entries must be available for group exhibition at Pacific Northwest Quilt & Fiber Arts Museum, October 14 – November 24, 2019.  These entries will be return shipped or available for pick-up November 25-27, 2019.
  5. Entries hanging in the show may not be taken down early for any reason. 
  6. Entrants with pieces juried into the exhibition will be provided with instructions on how to deliver art pieces when jurying results notifications are sent out.
  7. Three $500 cash awards will be made: “Best of Show,” “People’s Choice - Quilt” and "People's Choice - Fiber Arts."  Entrants may only receive one cash award per Festival.  Winners will receive cash prize included with the return of their entry.
